Job Description

Summary of Position

The primary responsibility of the Service Administrator is to assist in maintaining a productive and efficient Service operation within the Edmonton Division. This will be accomplished through performance of administrative duties ensuring that standard company procedures and specific instructions are followed.  The Service Administrator will assist in the contract process, which includes set-up, entry into JD Edwards (JDE), managing WO/PO processes and assisting with the accounts payable/receivable.

Duties & Responsibilities

 

  • Prepare new Vendor/Customer set up request form for Contracts
  • Set up Contract and Equipment/Site in JDE and update as required
  • Enter/update Customer contact note information
  • Open/Manage/Close work orders (WO), ensuring B&M process is followed
  • Open/Manage/Close purchase orders (PO), ensuring B&M process is followed
  • Time entry for technicians
  • Manage Safety certification for technicians
  • Manage Black & McDonald tool inventory (including new tools)
  • Manage Cross Connection forms
  • Manage insurance and WCB letter requests
  • Assist in WO Exceptions Report, RNV Report and bank deposits
  • Assist with inquiries regarding accounts payable/receivable
  • Maintain Divisional filing system
  • Administrative support within the office
