Job Description

The Pembroke/Petawawa Region is seeking an Administrative Assistant who will be working within the Facility Management & Operations Division. The Administrative Assistant will perform general routine administrative office duties and follow standard company procedures and specific instructions.  Duties performed may include typing, file maintenance, operation of office equipment and answering of telephones. Reporting to the Facility Supervisor, the Administrative Assistant will also be responsible to maintain B&M's Computerized Maintenance Management System (CMMS).

  • Maintains and operates the CMMS as directed by Supervisor; creates work orders; creates and maintains equipment history database; manages inventory tracking module, purchasing module, etc.
  • Coordinate with field staff for the completion of work orders and payroll data entry
  • Manages on-site routine filing system of training records, sub contract data, maintenance records, etc.
  • Provides telephone backup coverage, responding to interdepartmental inquiries that requires brief and non-technical information.  Follows established procedures for call routing and message taking
  • Operates office equipment including computer, facsimile and copy machine
  • Proofreads work for errors and makes appropriate corrections as needed
  • Provides administrative support including typing letters, memos, drafting monthly reports and presentations, and providing support for Human Resources
  • Sorts, prioritizes and redirects incoming mail
  • Coordinates requests for repairs and/or service to office equipment and maintains supplies
  • Produces monthly utility tracking reports using pre-developed software spread-sheet database
  • Other duties as assigned


Desired Skills & Experience
  • ​College Diploma in Office Administration or equivalent and 2-4 years of industry experience
  • Excellent verbal and written communications skills required
  • Ability to follow instructions both written and verbal
  • Maintain a professional demeanor at all times with fellow employees and customers
  • Maintain clear and courteous two way radio and/or phone etiquette
  • Ability to type a minimum of 45 w.p.m. accurately
  • Ability to pay close attention to detail for typing, filing and proofing
  • Exceptional customer service skills
  • Team player who is committed to working in a quality environment
  • Proficient in the use of Microsoft applications particularly Excel, Word and Outlook
