Job Description

‚ÄčThe primary responsibility of the Facility Management & Operations (FMO) Administrator is to assist in maintaining a productive and efficient operation for the execution of the Teck Acute Care Centre (TACC) contract. This will be accomplished through performance of administrative duties ensuring that standard company procedures and specific instructions are followed.  The FMO Administrator will assist in the contract process and maintain JDE which would include posting of labour hours (time entry), equipment/materials and purchase orders to work orders, commenting and closing work orders, changing of work order statuses, maintaining asset data, managing work order back log, and completing through to invoicing the customers.  

This is a part-time contract position to start with the possibility of turning into a full-time opportunity.

Duties & Responsibilities

  • Open/Manage/Close work orders (WO), ensuring B&M process is followed
  • Open/Manage/Close purchase orders (PO), ensuring B&M process is followed
  • Time entry for trades staff & building operators
  • Enter/update Customer contact note information
  • Process Customer/Vendor invoices
  • Assist in Developing and Issuing Invoices
  • Run WO Exceptions Reports
  • Respond to inquiries regarding accounts payable/receivable for the contract

Employment Requirements

  • Minimally 1-3 years' experience in an administration role
  • Excellent organizational skills
  • Proficient in Microsoft Office applications including Word, Excel, PowerPoint and Outlook 
  • Familiarity with the Microsoft Windows operating system and competency in basic computer skills
  • Previous experience with proven ability to learn specific software applications, i.e. JDE, etc.    
  • Knowledge of SharePoint and other collaboration tools are an asset
